POLICIES AND GUIDELINES
It is our intention to provide our clients with not only a professional and therapeutic treatment, but exceptional service and personalized attention at all times. The following policies and guidelines are in place to enable us to provide the highest quality service to each of our clients.
In our commitment to provide an outstanding holistic experience to all of our clients and out of consideration for our own time, we have adopted the following policies:
BOOKINGS POLICY
Booking in advance is essential.
Booking are confirmed once Alpha Energy and the client have both agreed a date, time, duration and location for a treatment. Please specify whether the treatment will be at the Alpha Energy premises in Cape Town or Pretoria, office or event.
Bookings can be made by calling or emailing. Often phones may be switched off or on silent, during treatment session with a clients, so please do leave a message or a text and we will call back as soon as we become available.
HOLISTIC THERAPY APPOINTMENT POLICY
Alpha Energy kindly request that all clients arrive on time for their appointments. We suggest arriving 10 min prior to the scheduled time, of your 1st appointment.
The Alpha Energy Mobile Massage therapist will arrive 10-15 minutes prior to your appointment start time in order to set up your office, or event space and allow time for a consultation and for you to complete any new client forms.
If late arrival is inevitable, your service may be shortened in order to keep on schedule. The original treatment time will be charged.
PUNCTUALITY POLICY
We respectfully request that you arrive 15 minutes prior to your scheduled appointment time. When booking services at Alpha Energy, your appointment is scheduled with a therapist, whose time is allocated exclusively for your scheduled treatment. If you are late for a scheduled appointment, our company policy offers you two options:
– You may opt to shorten your treatment
– You may prefer to reschedule your appointment at a more convenient time, however, a 50% cancellation charge will be incurred
CANCELLATION POLICY
We understand that life happens but unfortunately IF YOU FAIL TO CANCEL 3 HOURS PRIOR TO THE TREATMENT, THE FULL FEE WILL BE CHARGED.
RESCHEDULING POLICY
Appointments will be rescheduled by discretion of Alpha Energy Management. We understand that unanticipated events occur. Car problems, traffic considerations, business meetings, and project deadlines affect our daily lives and can interfere with an appointment.
LATE ARRIVAL POLICY
Unfortunately we cannot always provide late arrivals with an extension of scheduled appointments. In special cases we may be able to accommodate a partial or full appointment. This will be at our discretion and only with proper, advanced notification of your late arrival. The full service fee will be charged.
NO SHOW POLICY
Upon finding that a client is absent from their appointment location, the therapist will attempt to contact the client, and will remain at the appointment location for 15 minutes. After this time the appointment will be considered a "no show" and the client will be charged the full fee for the service scheduled and will be asked to pre-pay for future services.
SICKNESS POLICY
Alpha Energy recognizes that both massage therapists and clients are vulnerable to infections and given that we ask clients to cancel appointments when they are feeling unwell and we will do the same for you. If you have any of the following contagious illnesses the massage session will be rescheduled: Cancellation fees will be waved do to sickness if appointment is rescheduled.
Diarrhea, Vomiting, Fever, Sore Throat, Poison Ivy, Flu, Chicken Pox, Head Lice, Impetigo, Ringworm, Common Cold anything that is or could be contagious pleas reschedule your appointment.
We would like to request that children under 13 not receiving services are not left unattended during your service.
YOUNG CLIENTS POLICY
Clients under the age of 18 must be accompanied by an adult. The adult must give permission for the treatment to be performed. The adult must co-sign the client’s consultation form. The adult must be present in the room throughout the treatment
INDEMNITY FORM POLICY
An indemnity and medical/health history form needs to be completed by the client prior to the first treatment. There are certain contra-indications for some holistic treatments and the essential oils that are used. We need to be informed of any changes in medical conditions (e.g.: recent accidents, pregnancy etc.)
The therapist will consider information about your physical condition, medical history, lifestyle, stress levels, medications and any areas of physical pain that could affect your therapy outcome.
This information will help the therapist structure the session to achieve your health and wellness goals
INFORMED CONSENT FORM POLICY
At your first appointment you will receive a copy of the therapy policies and will be asked to sign the consent stating that you have read, understand, and agree to comply with our policies and guidelines. Clients who we have not seen for at least a year will also be asked to fill out this form.
TERMINATION POLICY
Alpha Energy has the right to terminate / cancel a treatment without notice if the client is intoxicated or inebriated.
Alpha Energy commits to rearranging treatments to a new time and date within two weeks of the cancelled treatment where possible.
NOTE: To save embarrassment, please do not request any service of a sexual nature. All of our therapists are professionally trained and our treatments are strictly therapeutic. The massage will be terminated immediately without refund due to inappropriate or sexual behaviour.
REFERRAL PROGRAM POLICY
Many of you have helped our practice grow by recommending Alpha Energy to your friends, family, and co-workers. To thank you, in return, when someone puts your name in the “How did you hear about us” line of this health form, we will send you a R50.00 voucher towards your next visit.
PACKAGE POLICIES
Holistic therapy packages are valid for treatments.
Packages are non-transferable and non-refundable.
Treatments purchased in a package may not be divided into multiple treatments (ex: a one hour massage split into two 30 minute massages.)
In the event of unforseen circumstances (sudden move or illness) which prohibits the use of part or all of your package, give us a call at 076 7433 155 to discuss options.
GIFT VOUCHERS
Gift vouchers can be redeemed on an appointment basis only.
Gift vouchers are not redeemable for cash, and cannot be returned for a cash refund.
Any unused balance will be placed in the recipient's gift voucher account.
If the treatment booked exceeds the amount of the users gift voucher, the user will be liable for the balance.
Gift voucher and unused portions of gift vouchers are non-refundable and are not redeemable for cash, and become void 3 months after the date of issue of the original gift voucher.
Alpha Energy is not responsible for lost or stolen gift vouchers.
Gift vouchers are transferable but not refundable.
SCOPE OF PRACTICE
Alpha Energy treatments are provided for the basic purpose of relaxation, stress reduction, and relief of muscular tension. If you experience any pain or discomfort during this session, immediately inform the practitioner so that the pressure and / or strokes may be adjusted to a level of comfort.
Treatments should not be construed as a substitute for medical examination, diagnosis, or treatment
Holistic Therapy is a profession in which the practitioner applies manual techniques to the body, and may apply adjunctive therapies, with the intention of positively affecting the health and well-being of the client.
Alpha Energy professional therapists are not qualified to perform spinal or skeletal adjustments, diagnose, prescribe, or treat and physical mental illness, and that nothing said in the course of the session(s) given, should be construed as such.
The therapist is required to refer you for diagnosis and to follow recommendations of your physician.
RESPECT AND BOUNDARIES
Alpha Energy Therapists will gladly adjust pressure, temperature, music selection or volume, work longer on an area or move on at client request. Please let us know your preferences so we can provide you with the best experience possible.
The client may choose to: leave on as much clothing as needed for comfort, refuse any massage methods, or stop the massage at any time.
The client will always be modestly draped. Only the area being massaged will be undraped. Requests for no draping will NOT be accommodated in accordance with our own ethical guidelines.
SANITATION AND HYGIENE
All equipment and linens that come in contact with the client will be cleansed in an appropriate manner.
Before and after each treatment, the Therapist’s hands and forearms will be washed with hot soapy water and a disinfecting solution. Any breaks in the skin of the massage therapist will be covered with a protective covering.
The client will come to the massage therapy appointment clean, and inform the therapist of any breaks in the skin. These areas will be avoided during treatment as they are contraindications for massage therapy.
Should the Massage Therapist or Client become ill or contract any contagious diseases the reciprocal party shall be informed.
PROFESSIONAL BOUNDARIES
Requests for sexual activity will not be tolerated. The treatment will be stopped, and the request will be viewed as solicitation and reported to the proper authorities. The client will not be rescheduled and the full service price will be charged.
The breast and genital area will not be massaged under any circumstances.
Sexual interaction or discussion of any kind between the client and the therapist is never appropriate.
CONFIDENTIALITY AND CONVERSATION
The discussion between the therapist and the client is confidential. The client may or may not choose to talk during the treatment.
Any health information disclosed, observed or treated will be kept confidential.
COMPLAINT POLICY
Complaints and other comments from clients are an important form of feedback, providing valuable information about the quality and safety of healthcare services. Complaints are a helpful learning tool because they create a unique opportunity to identify gaps in the quality of care and address any issues. Handled well, a complaint can lead to profound and positive changes in practice, enhancing the therapeutic and clinical relationship with clients.
EXISTING AND NEW MEDICAL CONDITIONS
It is the responsibility of the client to keep the therapist informed of any medical treatment currently being taken, and to provide written permission from the physician, chiropractor, physical therapist, etc., that the treatment may be continued.
The client must also keep the therapist informed of any changes in health conditions.
SMOKING POLICY
The salon is a smoke-free environment and promotes itself as such.
PAYMENT POLICY
All appointments/treatments are to be settled after completion.
Please note that a course of treatments, once purchased are non-refundable and will only be transferred in exceptional circumstances by agreement of management.
